Scheduler Guide

Client-side workflow reference for branch schedulers. Schedulers hold the scheduler role and are the bridge between the builder and Unlikely Professionals.

Your Role

  • Submitter — enter new projects via the Intake wizard
  • Scheduler — manage your branch’s inspection calendar
  • Communicator — respond to RFIs and create RFIs when you need info from UP
  • Monitor — track project status from submission through delivery

What You Do Not Do

  • You do not draft certs or invoices (that is Jacob/Dustin)
  • You do not see financial data (invoices, payment status)
  • You do not manage other branches’ projects

Daily Routine

  1. Open Dashboard — check for new RFIs, schedule changes, overnight updates
  2. Process pending RFIs — these have a 3-business-day SLA
  3. Check Calendar — confirm today’s inspections are on track
  4. Submit any new projects via Intake wizard
  5. Review HoldingPool — projects approaching 30-day or 45-day thresholds

Submitting New Projects

The Intake wizard walks through:

  1. Address entry (auto-complete via Google Maps)
  2. Permit upload (parsed automatically for SOW data)
  3. Scope of work selection (products from 9 divisions)
  4. Preferred inspection date
  5. Notes and special instructions

After submission, the project enters the admin approval queue. Jacob reviews and approves.

Calendar & Scheduling

  • View upcoming inspections for your branch
  • Red dots indicate projects with unread messages or open RFIs
  • Pipeline status stripes show where each project stands
  • Request schedule changes via the Schedule Changes page

Schedule Changes

  • Reschedule — move an inspection to a different date
  • Hold — pause a project (goes to HoldingPool)
  • Add Visit — request an additional site visit

The 45-Day Rule

When a project exceeds 45 days since its last inspection without certification delivery:

  • It automatically transfers to the Triage team
  • You lose portal access to the project
  • The GOA retains visibility
  • Invoices still route to the originating branch

30-day warning: The system auto-generates an RFI at 30 days requesting a status update.

RFIs & Escalations

  • RFIs appear in your sidebar and on the RFI page
  • 3-business-day SLA — respond promptly
  • If unresolved, escalation chain triggers: scheduler office manager GM
  • Create RFIs when you need information from UP
