Field Inspector Workflow Guide

Darius’s WhatsApp-based workflow reference. The field inspector operates entirely through WhatsApp via Rob — no web portal needed.

Daily Schedule

  • Receive daily schedule via WhatsApp at 6:00 AM ET (synced from calendar)
  • Each appointment shows: address (tappable for Google Maps), time, project ID, branch
  • Pull up permits/plans by asking Rob: “show me plans for [project]“

Arrival & Site Setup

  1. Arrive on site
  2. Take arrival photo via WhatsApp (auto-tagged: timestamp + GPS + project ID)
  3. Greet crew and review on-site permit/plans

PSoW Confirmation Gate

The system presents the Permitted Scope of Work (PSoW) via WhatsApp:

“This project has: UND-PUSH (12 piers), ANC-WALL (8 anchors). Is this what was installed?”

If Yes (~80% of jobs)

  • PSoW = ABSoW confirmed
  • Hardcoded values auto-populate
  • System prompts only for field-observation data (depths, locations, rod lengths, photos)

If No — Changes

  • Report what changed: product removed, qty change, product swap, product added
  • System records delta, which becomes ABSoW
  • Walk through revised product list

Product-by-Product Guided Checklist

For each product in the confirmed/revised SOW:

  1. Upload photos specific to this product
  2. Enter ABSoW data points (varies by product — see field-tech-guide)
  3. For qualifying products: “How many production days?”
  4. Note discrepancies between permitted scope and installed work
  5. Repeat for each product

Completion Check

All SOW Items Complete

  • No outstanding items — inspection closes, project advances to Field Complete, auto-validation runs
  • Items needed (drive logs, photos) — auto-RFI to scheduler, inspection closes with SLA on fulfillment

Partial SOW

  • Follow-up scheduled — next inspection picks up remaining SOW
  • No follow-up — auto-RFI to scheduler to schedule follow-up

Drive Log Special Handling

Drive logs are mandatory for UND (underpinning) products.

  • On-site — photograph handwritten log via WhatsApp, system OCR/parses data
  • Not available (crew not finished) — auto-RFI to scheduler, escalates daily if unfulfilled

Photo Upload Protocol

Hybrid approach: quick capture during inspection, structured review at the car.

  1. During inspection: capture photos per product (tagged: project ID + product code + timestamp)
  2. At car: system prompts structured review (“Confirm all photos for UND-PUSH uploaded?“)
  3. Close out appointment

Same-Day Changes & Missed Appointments

Route Changes

  • Route change alert via WhatsApp with updated schedule and new address/time

Missed Appointments

  1. Arrive on site — no crew / no access
  2. Report missed appointment via WhatsApp
  3. System auto-tags and applies trip charge fee
  4. Jacob and Dustin notified

Goal State

By the time you pull out of the driveway, the system has everything needed to draft a cert and invoice — photos, SOW confirmation, field measurements, production days. Any gaps trigger automatic RFIs to the client’s scheduler.
